Heart n Soul Markets is committed to creating festive, joyful, and well-organized events for vendors and guests alike. These policies exist to ensure fairness, safety, and a positive experience for everyone involved. These policies apply to all vendors, regardless of market, location, vendor type, or length of participation with Heart n Soul Markets. Participation in any Heart n Soul Markets event constitutes agreement to all vendor policies. Failure to review these policies does not exempt vendors from compliance. In addition to these master vendor policies, each market may have location-specific requirements listed on its individual event page. VENDOR POLICIES

All vendors must apply and be approved to participate in any Heart n Soul Markets event. Acceptance is based on vendor category balance, event needs, and overall fit. Submission of an application does not guarantee approval.

Vendors are expected to communicate and behave professionally at all times. Disrespectful behavior toward staff, volunteers, other vendors, or guests will not be tolerated.

All official communication is sent via email and the Heart n Soul Markets website. Vendors are responsible for reading all communications in full and following all instructions provided.

Vendors must use one primary email address that they actively monitor. This email must be the same email used at checkout to ensure proper connection to the vendor’s application and account. Missed emails do not exempt vendors from policy compliance.

Vendor fees are due as outlined during the application or acceptance process. Fees are non-refundable unless otherwise stated and may be transferable at the discretion of Heart n Soul Markets.

Vendors who cancel or fail to attend an event without proper notice may forfeit fees and future participation privileges. No-shows are not eligible for refunds or transfers.

Heart n Soul Markets operates as a sunshine-only outdoor market series. Events will be rescheduled if there is a 40% or greater chance of rain or in the event of severe weather. Vendor fees will be transferred to the rescheduled date unless otherwise stated.

Vendors must arrive during the designated setup window, be fully set up by the required time, and remain set up for the duration of the event. Early breakdown is not permitted.

Vendors must remain within their assigned booth space and maintain a clean, safe setup. Displays must not obstruct walkways, neighboring booths, or emergency access points.

Power availability varies by location. Vendors are responsible for reviewing market-specific power details listed on individual event pages. Power needs must be communicated in advance.

Each market may have unique requirements related to layout, power, placement, or venue rules. Vendors are responsible for reviewing the specific event page for additional requirements.

Vendor placement is determined by Heart n Soul Markets to ensure safety, flow, and event success. Placement requests may be submitted in advance but are not guaranteed. If you would like to be placed next to a vendor friend or family member, please communicate this request no later than 2 weeks prior to the event.

Failure to comply with vendor policies may result in removal from the event without refund and/or disqualification from future Heart n Soul Markets events.

Participation in any Heart n Soul Markets event constitutes agreement to all vendor policies. Heart n Soul Markets reserves the right to enforce policies, make final decisions, and update policies as needed.
